Position Summary:

Accounts Payable Administrative Assistant in Land Development with strong accounts payable experience to support the Land Development Group for a builder located in Fayetteville, AR.

 

Responsibilities & Qualifications:

  • Maintain weekly update reports/spreadsheets and provide to appropriate parties for various companies
  • Maintain departmental records including invoices, server files, and data systems
  • Data entry skills along with a knack for numbers
  • Research and resolve invoice discrepancies and issues
  • Manage the full accounts payable cycle from receipt of invoices to payment. Including coding invoices, matching purchase orders, obtaining approval and entering the invoices into the accounting system.
  • Process accounting transactions relating to all aspects of trade partner documents and engineering contracts, including purchase orders, pay estimates, invoices, back charges, return credits, adjustments, and letters of credit
  • Obtain and process vendor and community insurance according to company requirements
  • Communicate professionally, verbally and written, with all business contacts, including trade partners
  • Use the Integrated Homebuilder Management System (IHMS) to process all payments in accordance with Home Office approved standards and procedures
  • Oversee incoming and outgoing mail
  • Maintain supply and equipment stock, determine needs, place request(s) for purchases
  • Provide backup to front desk and answering telephones
  • Minimum out of office errands
  • Additional duties as required

 

Required Qualifications:

  • 3+ years previous accounts payable experience in a professional environment
  • Ability to work under tight deadlines
  • Ability to direct paperwork flow
  • Proficient in Microsoft Excel, Microsoft Word, Outlook, and Adobe
  • Works independently and within the team on special nonrecurring and ongoing projects, which may include: planning and coordinating multiple presentations and disseminating information
  • Ability to organize, prioritize, and schedule work assignments
  • Excellent time management skills
  • Have a high degree of urgency
  • Maintains a positive, organized and disciplined attitude and has the ability receive direction and coaching
  • Maintains confidentiality always while performing job-related duties
  • Maintain professional appearance
  • Willingness to “go the extra mile” to achieve goals and objectives
